How to Reduce PDF Size Before Sharing

A smaller PDF can be easier to email or upload. The right approach depends on whether the size comes from document structure, pictures or pages you do not need.

Try lossless optimization

Select Compress PDF and process the document. NivaFile uses lossless optimization and does not downsample images. Download the result and compare its size with the source.

An already optimized PDF may stay the same size or become larger. A scan with large pictures may need a different image-compression process than this tool provides. Do not assume every PDF will become smaller.

Keep only useful pages

If the destination does not need the entire document, use Extract Pages to produce a smaller selection. Check that no required cover page, appendix or signature page is missing.

Use Split PDF if several smaller documents are acceptable. Confirm the recipient’s upload rules before sending a ZIP; some forms accept only one PDF. Naming the parts clearly helps recipients identify their order.

Check the result and privacy

Open the downloaded PDF and inspect text, images and page count before sharing. Keep the source document until the recipient or upload system accepts the result.

Compression, extraction and splitting run on your device. Uploading the result elsewhere is a separate action. If the PDF contains sensitive information, redact or protect it before sharing rather than relying on a smaller file size.
